What kind of support does VetShadow actually provide?

VetShadow provides real-time expert clinical support for your veterinary team. Through our secure communication app, your vets can consult cases, request second opinions, resolve diagnostic or treatment questions, and receive personalised guidance from our senior team.

Is the service available on weekends and public holidays?

Yes. Our service is designed to cover weekends and bank holidays too, depending on your plan. Your team is never alone — even when the most complex cases arise at the most difficult times.

How soon can the service start after signing up?

The service can be fully operational within 1–2 days after contract activation (successful payment). We take care of setting your team up in our secure communication app, sharing communication protocols, and answering any initial questions — all within 48 hours.

How do you communicate with our veterinary team?

We communicate with your team through our secure, dedicated app — a professional platform for instant messaging. It allows your clinicians to send text messages, photos, videos and voice notes, and to organise discussions by shifts, users or specific clinical topics.

What do you need to use VetShadow?

To start using VetShadow, you only need an internet-connected device and access to our secure self-hosted Element communication app. If your PC is older, a tablet, smartphone or iPad may be the best option.

Minimum recommended requirements:
– On desktop: a modern browser (Chrome, Firefox, Safari, Edge) updated to latest version, or the Element Desktop app on Windows 10/11, macOS 10.14+ or Linux.

– On mobile: Element App for iOS 14+ or Android 10+.

– Browser use: latest version of Chrome, Firefox, Safari or Edge with stable internet connection.

What kind of cases or clinical queries can our vets ask about?

From diagnostic doubts, test interpretation, treatments, and emergency management to hospitalisation decisions, case follow-ups, or referrals. We also support ethical dilemmas or client communication if needed.

Does this service replace an in-house vet?

No. VetShadow doesn’t add hands to your clinic — it strengthens the hands already there. Our goal is to make your existing team more independent and effective. You decide: five calm vets working at full potential or six stressed vets working below theirs.

How does VetShadow ensure the quality and expertise of its advisors?

All our advisors have at least 10 years of hands-on clinical experience in referral centres, hospitals or general practice. They are trained to offer clear, useful and practical advice — even under pressure. They also bring management experience and are fluent (C1 level or above) in both English and Spanish.

What happens if a vet needs urgent help and no one replies?

Our system ensures continuous availability during your contracted hours. Every communication channel in our secure Element app is monitored by at least one senior vet on duty. A supervisory team is always present and ready to step in if needed — so your team is never left without support.

Do you offer discounts for long-term contracts or multi-clinic groups?

Yes. We offer discounted rates for 6-month or annual payments, as well as tailored plans for groups of clinics under the same management.

How is VetShadow different from hiring an extra vet?

Hiring staff comes with payroll, sick leave, holidays, and admin load. VetShadow is more flexible, consistent and available — without hidden costs or legal complications. We’re a full team for the cost of a single subscription. A new employee brings benefits, but also responsibilities. VetShadow brings no burdens — only solutions.

Is the service confidential? What happens to clinical data?

Absolutely. We follow strict confidentiality and GDPR-compliant data protocols. We do not access your clinical software, and we do not store any identifiable clinical data. All communication takes place through our secure, self-hosted Element platform, running on our private VPS servers located in the EU.
No third parties have access to your messages, and all exchanges remain fully encrypted and confined to your clinic’s private communication channels.

How many vets can consult at once? Is there a clinic limit?

Each plan includes one user account per clinic, typically installed on a shared device (e.g. a clinic computer or tablet). This means any team member can use it to ask questions — but only one consultation can be active at a time.

If your team needs to consult simultaneously from different devices or rooms, we recommend adding extra user licences for smooth, uninterrupted support.
